  3. Question 3

    3 marks

A hotel in Diani records staff attendance using a fingerprint reader instead of a written attendance register. State three advantages of using the fingerprint reader.

    (3 marks)

    Marking scheme

Award 1 mark for each valid advantage, maximum 3. - A fingerprint is unique to an individual, so one worker cannot sign in on behalf of another (1). - The time of arrival and departure is captured automatically and accurately, removing guesswork or altered entries (1). - The records are stored directly in the computer, so attendance reports and payroll can be prepared quickly without retyping (1). - Nothing can be forgotten or lost, unlike a card, password or the register book itself (1). - Queuing time is reduced because each member of staff only needs a moment to be identified (1). - The record cannot easily be tampered with, which reduces disputes over hours worked (1).

  9. Question 9

    6 marks

Explain three factors that the administration of a secondary school should consider when choosing a printer for the school office.

    (6 marks)

    Marking scheme

Award 1 mark for each factor correctly named and 1 mark for a valid explanation of it. Maximum three factors, 6 marks. - Volume and speed of printing (1) – the office prints many circulars, mark sheets and examination papers, so a printer with a high pages-per-minute rating is needed to avoid delays (1). - Running cost (1) – the cost of toner, ink cartridges and paper per page affects the school budget more than the purchase price does (1). - Quality of output required (1) – official letters, certificates and examination papers must be sharp and legible, which favours a laser printer over a dot matrix (1). - Availability of consumables and after-sales service locally (1) – cartridges and repairs must be obtainable in the nearby town, otherwise the printer stands idle (1). - Noise level (1) – a quiet printer suits an office where staff and parents hold conversations (1). - Colour requirement (1) – colour is needed for charts, posters and school branding, otherwise a monochrome printer is cheaper (1). - Ability to be shared on the school network (1) – several office computers can then print to one machine, reducing cost (1). - Paper sizes and stationery handled (1) – the office prints on A4, A3 and pre-printed forms, so the printer must accept them (1).

  10. Question 10

    4 marks

The pharmacy of a county hospital in Kisumu uses a bar code reader at the dispensing counter. Explain two benefits of using the bar code reader instead of typing the product code by hand.

    (4 marks)

    Marking scheme

Award 1 mark for each benefit stated and 1 mark for its explanation. Maximum two benefits, 4 marks. - Greater accuracy (1) – the code is read directly from the printed bars, so mistyped digits that could lead to the wrong medicine being issued are avoided (1). - Greater speed (1) – a single scan enters the whole code instantly, so patients are served faster and queues are shorter (1). - Automatic stock updating (1) – each scan reduces the recorded stock level at once, so the pharmacy knows immediately when a drug is running low or has expired (1). - Less staff training and fatigue (1) – the operator does not need typing skill or to concentrate on long code numbers throughout the shift (1).

  11. Question 11
